The short version: Your emails are yours. We host Tramovio with privacy in mind, we do not sell your data, we do not show ads, and we do not use your inbox content for advertising or profiling.

1. Who we are

Tramovio is an EU-hosted email service built to help people move to a private, ad-free inbox at their own pace. We are committed to handling your personal data in accordance with the General Data Protection Regulation (GDPR) and other applicable EU privacy laws.

2. What data we collect

We collect only what is necessary to create, secure, and provide your Tramovio account.

  • Account identity data: your first name, surname, chosen Tramovio username, and @tramovio.eu email address.
  • Age eligibility data: your date of birth, used to confirm that you meet Tramovio’s minimum age requirement.
  • Optional communication preference data: your gender selection. You can choose “Prefer not to say”. If you choose “Custom”, we store the wording you provide.
  • Account recovery data: your recovery email address, used to help you regain access to your account and receive important security messages.
  • Authentication data: password credentials managed securely by our authentication system. We do not store your plain-text password in your Tramovio profile.
  • Legal acceptance records: the date, time, and version of the Terms of Service and Privacy Policy you accepted.
  • Email data: emails sent to and from your @tramovio.eu address, including sender, recipient, subject, body, attachments, and technical headers needed to deliver email.
  • Usage and security data: basic logs needed for security, abuse prevention, debugging, and service reliability, such as login timestamps, IP-related security logs, delivery logs, and error logs.

We do not collect payment information during the private beta unless a paid plan is introduced and you choose to subscribe.

3. How we use your data

We use your data only for clear service-related purposes:

  • To create and maintain your Tramovio account
  • To confirm that you meet our minimum age requirement
  • To personalize your account and account-related communications
  • To provide your @tramovio.eu inbox and deliver email
  • To send account-related notifications, such as confirmation emails, password resets, and security alerts
  • To help you recover your account using your recovery email
  • To record acceptance of our Terms of Service and Privacy Policy
  • To detect and prevent abuse, spam, fraud, and security threats
  • To troubleshoot technical issues and maintain service reliability
  • To comply with legal obligations

We do not sell your data. We do not show advertisements. We do not use your email content for advertising or profiling.

4. Date of birth and age eligibility

Tramovio requires users to meet a minimum age requirement. We collect your date of birth during onboarding to confirm that you are eligible to create an account.

If we determine that an account does not meet our age requirement, we may restrict or close the account.

5. Optional gender information

During onboarding, we ask for gender only to help us communicate with you respectfully in future account and product communications. You can choose “Prefer not to say” if you do not want to share this information.

We do not use gender information for advertising, pricing, eligibility decisions, automated decision-making, or profiling. We also do not ask for information about sexual orientation or sex life.

6. Email content and inbox privacy

Tramovio processes email content only as necessary to provide the email service, such as sending, receiving, storing, displaying, forwarding, filtering, and securing messages.

We do not read your emails for advertising, profiling, or marketing purposes. Access to email content is limited to what is necessary to provide the service, protect the platform, respond to support requests you initiate, or comply with legal obligations.

7. Where your data is stored

Tramovio is designed around EU-hosted infrastructure. Core account data and email data are stored on EU-based servers wherever possible and in line with our GDPR-first approach.

If we use third-party infrastructure providers, we require appropriate data protection commitments and safeguards from those providers.

8. Data retention

Your account data and email data are retained for as long as your account is active. When you delete your account, your personal data and emails are permanently deleted within 30 days, unless we are legally required to keep limited information for a longer period.

Security and technical logs may be retained for up to 90 days for abuse prevention, debugging, and platform security. Legal acceptance records may be retained for as long as reasonably necessary to demonstrate compliance.

9. Your rights under GDPR

Where GDPR applies, you may have the right to:

  • Access — request a copy of personal data we hold about you
  • Rectification — correct inaccurate or incomplete data
  • Erasure — request deletion of your account and associated data
  • Portability — receive your data in a machine-readable format
  • Restriction — ask us to limit how we process your data
  • Objection — object to certain processing of your data
  • Withdraw consent — where processing is based on consent

10. Cookies

Tramovio uses essential cookies and similar technologies required for authentication, security, and keeping you logged in. We do not use advertising cookies.

11. Third-party services

We use a limited set of third-party infrastructure and service providers to operate Tramovio, such as hosting, authentication, email delivery, database, monitoring, and security providers.

These providers may process personal data only as necessary to provide their services to Tramovio. We do not share your data with advertisers, data brokers, or unrelated third parties.

12. Beta feedback

During the private beta, you may choose to share feedback with us. If you do, we may process the feedback you provide, your contact details, and relevant account context to improve Tramovio and respond to you.

Please do not include sensitive personal information in feedback unless it is necessary for your support request.

13. Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or inside the product before those changes take effect where required by law.
